HR Branch Officer

The Human Capital Branch Officer is responsible for providing support to the branch, in the various Human Capital functions which include Recruitment, Administration, Employee Benefits, Performance Management, Employee Relations, Employee Wellbeing and Engagement with support and guidance from the Human Capital Team

Receiving Staff Requisition forms, confirming that the accurate job profiles are in place and aligned to the branch structure and that appropriate approval has been given before submitting to the Recruitment team.
Offering recruitment support by setting up interviews and interviewing candidates as and when required.
Compiling recruitment packs according to the recruitment check list and submitting to the Recruitment team in order for Criminal and Kroll checks to be complete.
Follow up with the Recruitment team at Head Office on the results of the pre–employment checks and advising the candidates’ direct manager of the completion of the recruitment process.
Conducting Induction sessions with new branch employees on their first day of employment.
Preparing and verifying employment contracts and other employment documentation for submission to direct manager for signing and forwarding to candidates. Once returned and checked, submit to the Recruitment team.
Administrative and Payroll
Collect sick notes from employees and ensure that they have a valid practice number before submitting to the Human Capital Administration team.
Liaise with the Human Capital Administration and the branch to ensure that leave applications are submitted correctly on the Interactive system.
Ensure that termination forms, resignation letters and transfer documents are filled in correctly, signed and forwarded to the Human Capital Administration team.
Submit all signed promotion, salary increase and job title change request forms to the Human Capital Business Partner for sign off by a Senior Manager before submission to the Payroll team.
Communicate Payroll deadlines to the branch monthly to ensure timeous submission of flexi hours, overtime hours and changes to personal details.
Update managers and employees on the correct Payroll processes in terms of salary deductions, loan advances and garnishee orders.
Receive a pending leave transaction list from Payroll each week and ensure that the leave transactions are authorized within the branch
Scan all signed performance appraisals and save them in the branch folder on Shared Point.
Follow up with management on employee appraisals which have not been received and provide the Human Capital Business Partner with feedback.
Act as a liaison between the Benefits team and the branch by assisting employees with the completion of benefits documentation which includes:
oInjury on Duty forms
Ensure that these forms are received by the Benefits team.
Check that Benefits forms which have been completed due to change requests such as additional members, changing of beneficiaries etc. are signed and completed correctly and submitted to the Benefits team.
Facilitate the distribution of correspondence to medical aid and provident fund members as required.
In the event that an employee is injured on duty, ensure that an Employers Report of the accident is completed and submitted to the Benefits team.
Assist with employee death claims by collecting the relevant ID documentation, death certificate, affidavit, notification of death, banking and contact details of beneficiaries and submit the documentation to the Benefits team.
Collect maternity documents from employees who are seven months pregnant, check that they are filled in correctly, scan and email the documents to Benefits team.
Assisting when necessary with employee training sessions and workshops relating to performance management.
Receive employee performance appraisals bi-annually, in both excel format and hard copy and check that there is a signed performance appraisal for each employee in the branch.
Capture all letter and decimal scores of each employee appraisal onto a spread sheet and submit to the Human Capital Business Partner for consolidation.
Submit training and development needs, as identified as part of career development plans, for employees and managers to the Human Capital Business Partner.
Liaise with Employee Relations and the branch to ensure that the correct disciplinary process is followed when employees’ behaviour is not in accordance with Company rules and regulations, or when an employee is not performing in terms of their agreed targets.
Check that all disciplinary request forms are completed correctly and signed by both manager and employee before being submitted to the Labour Relations email account.
Assist Human Capital Employee Relations by collecting outstanding Labour documentation from management as and when required.
Consult with employees where necessary with regards to the signing of addendums to contracts and submit the addendums to Human Capital Labour Relations.
Relationship Management and Service Delivery
Create and maintain productive relationships with internal clients such as management, logistics and facilitators within the branch through continuous conversations and by being accessible.
Build an internal brand of Human Capital by exceeding service delivery expectations within the branch at all times.
Keep and Excel log sheet of all queries received via telephone, fax, email and one on one conversation with employees and branch management and submit to the Business Partner weekly in order for trend analysis to be complete.
Report on matters resolved and escalate unresolved matters to the Business Partner.
Promote and monitor Human Capital initiatives in the branch and provide feedback to the Human Capital Business Partner.
Ensure that Human Capital Communication is visible and accessible to all employees in the branch.
Assist Human Capital with identifying projects or initiatives in the branch which will assist business in improving productivity and decreasing absenteeism.
Coordinate training interventions and Human Capital interventions within the branch.
REQUIRED MINIMUM EDUCATION/TRAINING
Relevant Human Resources Diploma
Proficient in Microsoft Office Packages
Relevant Human Resources Degree (Advantageous)
Knowledge of Labour related legislation (Advantageous)
REQUIRED MINIMUM WORK EXPERIENCE
1 year experience in a Human Resources administrative or Human Resources generalist environment
