Introduction
Reporting to the HR Manager, this role is responsible for providing a support to the HR Business Partners by assisting with HR Administration.

Specification
HRBP Calendar management:
-Scheduling of appointments including :
-6 week catch – ups
-Internal 3 month probation reviews
-External 4 month probation reviews

Internal Recruitment :
-Capture internal movements on staff moves
-Log staff moves with EMS, Service desk, etc.

Letters:
-Offer letters
-Job change letters
-Probation sign off
-Settling in and probation review documentation
-Employee Contracts

Loans, Salary advances and study loans
-Assistance with completion of Form
-Capturing on loan database
-Sending to Payroll

Terminations:
-Capture on staff moves
-Send exit questionnaire
-Book Exit Admin meeting with the HRPBP
-Log termination on EMS

Induction
-Assist with completing documentation of new employees

Disciplinary :
-Log all warnings, etc.
-Ensure doc is scanned and saved in folders
-Log on the VIP People system
-File documentation on the employee’s file












Reports:
-Extracting data from the VIP People System

HR Admin:
-Any adhoc admin requests from the HRBP’s
-Complete confirmation letters for employees as requested
-Record keeping and issuing of Market / Team recognition gifts
-Keep HR controls up to date
-Updating of employee online file
-Submitting authorised business claims for payment
-Ensure that relevant documentation is submitted to payroll before cut-off
Requirements
Essential Requirements:
•Knowledge and experience using all MS Office applications – Word, Excel, Powerpoint, Outlook
•Matric/Grade12 or equivalent
•At least 2 years proven relevant HR Administration experience
•Knowledge of relevant labour legislation affecting HR administration (BCEA, LRA & SDA)
•Experience using HR Admin/Payroll systems

•Relevant HR qualification
•Experience working on VIP People software
