WWF is seeking to appoint a fulltime Administrative Assistant who will be based in Newlands and will report to the WWF-SA Operations Manager. The incumbent will provide support on an ‘as and when needed’ basis to Directorate, Human Resources, and the Finance & Business units.

Key Responsibilities:
•Provide administrative assistance to the WWF-SA investment team. This will include, but is not limited to:
oTravel arrangements (local and international),
oPrinting and copying documents,
oResearch (sourcing articles and reports),
oSetting up appointments/meetings (internal and external), and
oProcessing expense and kilometer claims.
oCo-ordinate stationery requirements for the investment team

•Provide administrative support to the Legal team where needed. This will include, but is not limited to:
oAssisting with the management of the contracts register,
oScanning and filing of signed contracts,
oGeneral filing (including printing labels, and filing hard copies of documents),
oSubmit invoices for payment on time,
oUpdate legal budget tracking spreadsheet, and
oManage half signed contracts folder.
•Provide switchboard relief over lunch and from 16h00 to 17h00, as well as be a backup when the current receptionist is not available.
•Process travel bookings as required, this will involve managing voyager, as well as serving as a backup on the TravelIT and Rennies bookings when the Office Manager is not available.
•Assist with RSVP’s for corporate events (LPC, AGM)
•Assist with Directorate filing
Requirements
Skills/Requirements:
•At least 5 years administrative experience including Financial administration experience.
•Excellent verbal & written English communication skills.
•Experience with drafting agendas and travel itineraries
•Experience in providing written communication support to a range of audiences.
•Familiarity with providing support to remote offices.
•Computer literate: MS Office (Excel advanced level).
•Good organization and planning skills.
•Ability to multi task.
•Attention to detail.
•Ability to respond to a changeable working environment where there may be last minute requests to change travel arrangements meeting arrangements etc.
•An interest in conservation issues.
•Enjoys working closely with people.
