•Provide an efficient answering and message service
•Newlands Office switchboard is diverted to Braam from time to time
•Assist with filing and administration from time to time
•Dispatch, receipt and internal delivery of courier items
•Maintain a professional appearance of the Reception area
•Assist in organizing functions
•Assist staff with general office administration, general typing and filing
•Co-ordinate refreshment set-up for meetings, with external attendees
•Co-ordinate the reservation of meeting rooms
•Manage the electronic message service
•Provide administration assistance to the Divisions/Units e.g. mailings, deposit slips, data capturing
•ensure daily newspaper has been delivered
•Ensure there is parking for visitors
•Vehicle/pool car bookings
•Handling all the incoming new information emails for the projects and send it to the correct recipients
•Co-ordinate courier postage
•Assist with the management of the building
•Keep an updated telephone extension list for WWF-SA
•Receive visitors and update visitor log sheet (Log sheet a health & safety requirement)
•Reflect a professional appearance
•At least 3 years reception, front end client experience
•Excellent verbal communication skills in English
•Be computer literate in MS Outlook, Word & Excel
•Good planning & organizing skills
•Be client service orientated
•Be self-motivated, enthusiastic and reliable
