The position of Logistics Coordinator is to manage and ensure that all examinations, graduations, workshops, learnerships and other customised training initiatives are effectively and smoothly delivered at both student and client level.

Preference will be given to applicants from designated groups, and appointments will be made in line with our EE requirements.

Booking of venues and classrooms for all CL modes of delivery, examinations and graduations across faculties:

•Ensure that all examination venues are booked and confirmed by end August of the previous year for all programmes, across all faculties
(including international venues). The tentative exam dates for the following year must be forwarded indicating that the final number of
students will be available approximately 4 weeks prior to the exam session.

•Ensure that all learnership and workshop venues are booked and confirmed on receipt of DTS .

•Ensure that all contact learning classroom sessions are booked and confirmed at least one month prior to commencement.

•Ensure that all venue invoices are checked and authorized before submitting to the Finance department for payment.

Booking of travel and accommodation requirements:

•To manage the travel and accommodation requirements for learnership and workshop facilitators as and when required.

•Ensure that all travel and accommodation invoices are checked and authorized before submitting to the Finance department for payment.

Management of facilitators and invigilators iro logistic requirements:

•To manage the selection and recruitment of all Milpark invigilators and chief invigilators. To ensure that all invigilators are continuously
trained and up skilled in accordance with Milpark examination policies and procedures.

•Ensure that all invigilators are timeously booked for the correct examination sessions in accordance with Milpark examination policies and
procedures and that the correct stationery for invigilators is issued at the beginning of the academic year.

•To ensure that all invigilator claim forms are correct and timeously submitted to the Finance department.

•International venues and invigilators must be contacted prior to the exam sessions and scripts must be dispatched as per the laid down

•Be available on the day of the exam to ensure that all exam centres are operating well. Manage the invigilators and report all script
discrepancies to management on the day of the exam.

•The invigilator feedback forms must be critically checked and any queries immediately attended to and brought to management’s attention.

Team productivity:

•Willingness to assist with all aspects of the business as and when required e.g. Processing department and SSD.

•Assist with the preparation and retrieval of off-site documentation in preparation for external audits.

•General Office Administration including:
o Filing
o Weekly Reports
o Archiving

People management:

•Using excellent people skills to influence the members of your team and all your co-workers where these skills consistently account for
achieving the best possible outcome in every management action and interaction.

•To effectively encompass the task of role selection, recruitment, management, and on-going support and guidance for the staff members of
the processing department.

•To successfully lead, motivate, train, inspire, and encourage the staff members of the logistics department to create a positive, productive
workforce. Similarly to take responsibility and manage any ineffective behaviour and bring conflicts to the surface and get them resolved.

•To ensure that each employee is involved in making decisions which affect their area of expertise.

•To ensure that staff performance appraisals are conducted twice a year i.e. June & December.


•The Logistics Coordinator should be passionate about Milpark and its Services.

•The Milpark set of Values should be prevalent in all conduct by the Logistics Coordinator.

•The Logistics Coordinator should be committed to continuous self-improvement.

•2-3 years management experience.

•Tertiary education will be an advantage.

•Alignment to the behaviours as defined by Milpark’s Values (see above).

•Computer literacy especially in Microsoft Office and excel.

•Excellent telephone etiquette and customer skills.

•Previous experience of assessment procedures and processes will be advantageous.

•Previous experience in the educational environment will be advantageous.

•Ability to listen and talk in a professional manner.

•Excellent Planning and Organising skills.

•Attention to detail.

•Ability to multitask.


•Ability to work in a pressurised environment.
