The successful candidate’s responsibilities will include, but not be limited to:
• Work closely with the Leasing Team to ensure reduction in vacancies
• Ensure adherence to CPA quality standards
• Ensure quality customer service and feedback
• Ensure that all inspections are completed within the prescribed time frames
• Ensure that all vacant units are in a lettable condition according to CPA standards
• Ensure Ad Hoc inspections are done on a 6 monthly basis
• Ensure all units are maintained and kept up to standard by current tenants
• Ensure that the TDL inspections are done within the prescribed time frames
• Relocate tenants to more suitable premises if required (major maintenance to be done in units)
• Obtain and approve quotations within a reasonable time and as per CPA prescriptions
• Provide input on the annual budget timeously and accurately
• Review of arrears reports, provide support to credit control by demonstrating your involvement in collecting difficult arrears
• Address utility queries
• Provide input and manage the budget expenses in the committed time frames
• Scrutinize the Monitor Jobs report weekly and finalize current jobs and/or delete/defer jobs no longer applicable
• Log jobs timeously and accurately on MDA
• Take corrective actions stemming from Portfolio Manager instructions
• Attend the weekly PM meetings
• Ensure action notes on MDA are correctly completed
• Ensure allocation codes are correct on invoice as well as MDA
• Follow up on outstanding job cards older than 2 months
• Mentor and coach the subordinates as required
• Portray a polite and professional attitude towards all stakeholders
• Responding to customer queries within prescribed time frame
• Attend to customer care cases (CRM)
• Ensure customer satisfaction through prompt follow-ups and manage the quality of repairs done
• Follow up on outstanding items on CRM cases within acceptable timeframes
• Facilitate formal meetings with tenants to increase the interaction and build relationships
• Build and maintain working relationships with colleagues and service providers
• Build and maintain strong relationships with tenants
• All clearances to be processed and submitted within 5 working days of the vacate date
- Relevant notes to be made on MDA
- Ensure that all Tenant recoveries are claimed
- Ensure that all Job Cards are logged timeously and correctly
- Ensure that repairs are done to CPA standard and within acceptable timeframes
The Successful candidate should possess a Matric, with a minimum of 3 years Property Management experience:
• 3 year Business/Property (e.g. BSC Property Studies) related degree preferred
• Estate Agencies Affairs Board Competency Certificate (NQF Level 4) required
• Code 08 Driver’s license required
• MS Office:
- MS Word – Basic
- MS Excel – Intermediate
- MS Power Point – Basic
- MS Outlook – Basic
• Sales and lease negotiation skills
• Basic knowledge of credit control principles
