Ecowize is looking to employ an Order Processor who is primarily focused on the processing of sales order the following up thereof. The key responsibilities include generating sales orders, printing packing slips, the printing of backorders once stock is received, following up on outstanding feedback to ensure the orders are processed for picking and generate invoices.

Job specification

Sales Processing:
•Sales quotations / PO’s are to be generated into sales orders on AccPacc.
•An order is only to be processed into an Invoice once all the following conditions have been met
oPO matches the amount on the sales order
Should the PO not match the amount of the sales order, discrepancy to be escalated to relative sales representative and feedback to be
followed up. Order to be closed within 48 hours.
oCourier has been added to the sales order – with the exception of customers approved for free delivery (list available)
oFull payment has been received for cash customers
oBP account is active – inactive accounts to be declared to the sales representative
oCompleted information is available on order for successful delivery- Delivery address, contact person and a contact number
•Picking slip to be printed per sales order and submitted to the warehouse for picking.
•Any supplementary requirements to be listed on the packing slip, i.e. Courier quote required, etc.
•Sales orders for cash clients only to be generated once payment is received

Sales Administration:
•All feedback required to be communicated to the client/ responsible sales support person to be completed and sent to them via email within
the same day
•Feedback to be followed up on every second day to ensure sales orders are completed within due time
•Sales orders are to be consolidated should there be more than one order pending, in order to reduce courier costs of orders sent.
• Filing/answering of phones / taking messages / emails.

Back Orders:
•The printing of backorders is to be completed within 48hours of stock being receipted into the warehouse. The absence of this will result in
disciplinary action.
•Backorders to be consolidated with open sales orders or other pending backorders to reduce courier costs per backorder sent.

Job requirements

•Matric essential
•Experience in sales processing and administration essential.
• Previous experience in Pest Control or Hygiene division highly advantageous.

• Exceptional communicator both verbally and written
• Good understanding and knowledge of the cleaning industry and service orientated.
• Logical thinker as well as strategic and organized
• Ability to manage and delegate tasks and duties.
• Ability to solve problems efficiently and to be pro-active in identifying potential problems
• Attention to detail
