Support the specific department with all operational and administrative requirements
Produce, update and provide best practice support on MS documents, databases and other departmental systems to support the work of more senior colleagues. Co-ordinate and manage the administration function for the Head of the Department and as well as the department’s employees. Collect invoices from suppliers and/or business daily to ensure authorization thereof. Accurately record and administer invoices to ensure payment is made timeously. Ensure operational planning and organizing within the administrative function within the department.
Data Collection & Analysis
Extract Relevant data from information provided by others, and input it into spreadsheets or standard formats. Follow up on loading and VDN tracking. Extract and collate accurate reporting metrics, and upload daily, weekly and monthly stats to keep track of media performance. Follow up and collate slides from channel managers for monthly team reports. Accurately report affiliate partner performance, biweekly providing stats as well as disposition reports.
Internal Client & Customer Management
Help manage internal clients by carrying out standard activities and providing support to others. Provide administrative support to ensure effective internal customer service delivery in an efficient and timely manner and keep the customer informed at all times. Manage the operational relationship with internal and external stakeholders. Liaise with the finance department to ensure vendors are correctly loaded and maintained to ensure the accurate facilitation of payments. Execute Ad hoc requirements as per the Head of
Use the internal communications system to access specific information.
Create a local document management system for an office or department.
Work Scheduling and Allocation.
Organize own work schedule in order to get the job done, coordinating with support services and following up on short-term tasks to others if necessary.
Grade 12 or a equivalent SAQA accredited qualification (Essential);
Diploma/Certification in Administration (Advantageous)
2 or more years experience within an administrative role (Essential);
Experience in customer services environment (Advantageous);
Experience in a Financial Services Industry (Advantageous)
