This position is to assist the Coordinator of Quality Assurance and Student Affairs with academic administration and record keeping.
•Scheduling of meetings
•Drafting Agendas and taking Minutes of meetings
•Downloading and transcribing Microsoft Teams recordings
•Scheduling student disciplinary hearings, assisting with the issuing of notices of disciplinary hearings to students, assisting with collating evidence for the Student Disciplinary Committee and Student Disciplinary Appeal Committee, sending outcome letters to students, updating register of disciplinary hearings
•Assisting with collating evidence for student appeals, updating of appeals register, sending appeal outcome letters to the Academic Committee
•Capturing bursary application forms, assisting with processing bursary applications and sourcing relevant information on students’ profiles. Uploading bursary agreements to students’ profiles, sending letters to students.
•Assisting with the monitoring of student complaints, updating the complaints register, collating information and doing follow ups with relevant staff regarding addressing student complaints
•Assisting with the annual surveys including collating lists of students, and summarizing survey feedback
•Assisting with keeping the list of editors up to date
•Assisting with gathering and collating information for the Department of Higher Education and Training (DHET) annual report
•Assisting with information for submissions to the regulators, including the DHET, SAQA, CHE and SETA’s
•Assisting with information for the updating of fact sheets, handbooks, policies and procedures, the prospectus and website
Education & Experience Requirements
•At minimum a diploma level qualification
•Excellent oral and written English communication skills
•Excellent administrative and organisational skills

•Experience in working in academic administration in a Higher Education environment
