Introduction
ROLE PURPOSE

To provide excellent client service by assisting and administrating the car rental reservation process for clients.

Specification
ROLE OUTPUTS

•Ensure and contribute to minimisation of general expenses
•Upselling products where appropriate
•Ensuring competitive price quoting
•Follow the company process with regards to debtors to ensure outstanding fees are paid
•Ensure that all stakeholder communication is accurate, timeous, professional and relevant
•Build and maintain mutually beneficial relationships with internal and external stakeholders including clients
•Ensure and contribute to achieving own and company required client satisfaction targets
•Adhere to company procedures and quality standards with regards to the following processes (but not limited to):
oManage all incoming calls
oAssisting clients with any queries regarding the reservation process and/or vehicle needs
oMaking an effort to understand client needs to enable client service objectives are met
oMaking vehicle reservations for clients aligned to their needs
oLiaise with suppliers and clients on availability, cancellations, swops and/or returns
oProcessing payments
oConfirmation of reservations
oKeep track of and respond to client car rental reservation requests timeously
oSend and / or obtain all relevant documentation from client and/or supplier
oCost and/or quote reservation bookings
•Inform clients/suppliers of special terms and conditions
•Cost, calculate and load invoices on Novtel
•Obtain credit card authorisation codes from bank for credit card payments
•Liaise with Insurance Claims department for replacement reservations
•Send and obtain credit application documentation and supporting documents from client
•Call trade references for credit applications
•Email client statements and invoices
•Phone / email clients with regards to outstanding accounts
•Print and/or file client and supplier documents
•Compile and submit daily, weekly and monthly reports
•Assist Key Account Managers with general information needed for clients
•Live the company values
•Ensure continuous self-development
•Ensure industry knowledge in terms of trends and competitors are current
•Share information and knowledge with the team
Requirements
QUALIFICATIONS AND SKILLS

•Matric or equivalent
•Computer literate
•Excellent communication skills (verbal and written)
•Excellent Client Services skills

EXPERIENCE

•A minimum of 3 years client services and administration experience

OTHER

The position requires telephonic afterhours stand by on a rotational basis
