Specification
Responsible to support the Project Management Office in the coordination, planning, administration and control of all business projects. To coordinate the successful delivery of business functions by providing reports/dashboards on progress to aid better management insight and decision-making

Requirements
Responsibilities

Project Administration

Create initial work plan using standard structure and resources
Load detailed work plan into project management tools
Tailor work plan maintenance cycle and checklist
Execute work plan maintenance cycle
Provide Project Managers with the standards
Build detailed work-planning guidelines and templates
Perform work-plan event and document changes (add activity, change baseline, change resource, change effort, change duration)
On a day-to-day basis, own the reporting/ dashboarding process to ensure that information is accurate and timely for executive decisioning
Responsible for administration of all documentation & maintenance of project management tools
Provide meaningful performance metrics and status reports Assist the Program
Manager and Project Managers in the production and maintenance of project plans
Develop and maintain the project library, filing, recording and reporting systems
Define and document procedures in accordance with agreed methodology

Project Support

Assisting with internal and external communication, improving transparency, and radiating information with all stakeholders
Act as the secretariat for meetings and boards; scheduling and administration of meetings, coordination and distribution of the agenda and taking minutes, notes and actions
Develop and maintain the project library, filing, recording and reporting systems
Define and document procedures in accordance with agreed methodology
Liaise and collaborate with business owners to ensure that the activities, issues and risks are tracked and escalated
Provide a single picture in accordance with agreed reporting practices of the status and performance of all projects

Project Governance

Support Project Manager in ensuring governance processes and decisions are applied consistently
Identify risks proactively, drive timely mitigation, and escalate to management appropriately
Maintain risk and issue logs and change control records
Coordinate and facilitates audits as needed
Execute an effective system of project governance
Ensure the agreed project management methods, standards and processes are adhered to throughout the project life
QA of work-plan based on standard guidelines

EDUCATION

Matric
Qualification in Project Management or related discipline preferred

EXPERIENCE

Minimum 3+ years of project administration experience
Knowledge and experience working with Lean/Agile frameworks advantageous
Proficiency in MS Excel, MS PowerPoint, MS SharePoint, Project Tools
