Introduction

Core purpose of the role

To receive, maintain and dispose of Luxury Collection fleet to ensure that an operational fleet is available at all times to meet customer needs.

Specification

Key deliverables and outputs

1.Strategic/Financial

•Ensure that all vehicles are serviced timeously to ensure that warranty remains valid
•Ensure that damaged vehicles are repaired timeously by following the correct accident procedure with the correct panel shops to
minimize cost and vehicle down-time.
•Maintain fleet size accordingly upon fleeting and de-fleeting to ensure optimal balance of fleet numbers and to manage vehicle
costs.

2.Operational

Fleet Installation
•Upon receipt of new vehicles, order MVA numbers from Fleet Control Department/VPod within 48 hours
•Quality inspect all new vehicles and ensure license, roadworthy disc and operator card are present
•Sign off delivery note as per procedure
•Arrange for tracker unit to be installed within 24 hours
•Check on Cartrack website that tracker system is working
•Apply for road transportation permit through the permit board
•Apply permit to the vehicle's windscreen once received
•Place paper copy of the permit in the cubby hole of the vehicle
•Capture vehicle information in AS400 system same day of permit received
•Hand over vehicle to shift supervisor
•Hand over spare keys and registration form to Fleet Control Department/as per local procedure
•Ensure that fuel cards are ordered for the vehicles

Fleet File
•Monitor movement of the fleet and monitor correct blockings (e.g. accidents, out of service, turnbacks)

Vehicle Services
•Monitor service intervals of vehicles and action accordingly
•Vehicle services are checked and maintained according to manufacturer standards
•Vehicles inspected before leaving Dispatch and a completed check sheet is filed away,
•Vehicle inspected when returned from service,
•Verify that the service details have been updated in the vehicles service book/key
•Ensure that vehicles being serviced are returned in a timely manner

Accidents
•Accident reports are obtained from respective employees or Rental Sales Agent
•Verify that details on the report are completed accurately
•Take the vehicle to the Accidents team with the report for 3 quotes to be obtained
•Identify any part delays and escalate these to Line Manager/OEM to ensure speedy repair
•Open a VTC when the vehicle is allocated to Panel Shop
•Inspect the vehicle when returned from Panel shop
•Flag bad repairs with Accidents department
•Close VTC when vehicle repair is up to standard and vehicle is received back onto fleet
•In the event of a Staff Accident, ensure that the Staff Accident Cover sheet is completed and the acknowledgment of Debt Form is
signed with applicable excess amount, copy of Driver’s license taken from staff responsible for accident and completed documents
are handed to Manager for signing and workflow to be actioned
•In the event of a customer accident, invoice / charges are handed to RSA’s to bill Rental Agreements
•Ensure that repairs are followed up timeously
•Attend to/investigate any breach of contract and follow breach procedure

Security
•Ensure the safe is locked (after hours) (ACD/ALC = Keys are kept at Branch)
•Ensure Reg papers; Permits and keys are securely stored = ACD /ALC = Keys are kept at Branch/Fleet Control
•Ensure that tracking devices are operational at all times

De-fleeting, E-tags and Trackers
•Email Lux Admin to hard lock tracker units
•De-install and remove E-tags and send to Fleet Control
•De-install and remove fuel tags
•Ensure that fuel cards are cancelled

Vehicle Lifting
•Monitor turnback vehicles age, lift and reactivate the hold as per communicated standard and criteria when requested

Licence Discs
•Renew and file expired licence discs
•Receive/send new license details from/to Fleet Control to update the database accordingly.

Reporting
•Update the accident spreadsheet and submit weekly
•Proactively provide insights on the state of the fleet for management monitoring/action
•Ensure that relevant daily/weekly reports are actioned e.g. Wizard 21/24, VTCs, Car Track

3.Stakeholders (internal & external customers, suppliers, shareholders, communities)

•Attend daily team huddles and team meetings as required
•Build and maintain relationships with panel shops for timeously delivery of repairs
•Build and maintain relationships with dealerships for timeous servicing of vehicles
•Build and maintain strong relationships with Chauffeurs and Delivery Service Agents

The role requires close engagement and collaboration with key internal and external stakeholders

Internal Stakeholders
Fleet Control Department, Rental Sales Agents, Administrators (Luxury and Fleet Control), supervisors, accident/workshops department, Chauffeurs and Delivery Service Agents

External Stakeholders
Panel shops, Dealerships and Department of Transport Permit Board
Requirements

Academic Qualifications

Essential:
•Relevant NQF level 3 qualification
•Valid driver's licence

Advantageous:
• Relevant NQF level qualification beyond level 3

Work Experience

Essential:
•1 – 3 years of previous work experience

Advantageous:
•Previous panel beating/mechanical repairs experience
•Previous fleet management/logistics experience
